How to Setup and Create Tags with Tag Manager

Transaction tags are currently available with selected plans.

Transaction tags are an easy, flexible way to attach additional data and information to transactions.

Tags can help you categorize transactions or assist with reconciliation: 

  • You can use tags to note when a transaction should be billed to a client and the name of the client for the billing
  • Tags are often used to attach GL (general ledger) codes to transactions

You can create several types of tags based on the type of information you want to attach to a transaction. A tag can be:

  • “Yes/No”
  • A decimal number (such as a dollar amount), chosen from a pre-populated list of options
  • Free-entry text tag which can be restricted to alphabetical-only, numerical-only, or alphanumerical

Tags must be configured in the Administrator application before they can be used by cardholders.

How to Create a New Tag:

  1. Log into the PEX Administrator website
  2. Click the Account tab
  3. Click “Tag manager” in the blue bar
    • If you do not see an option for “Tag manager,” please contact Admin Support for assistance
  4. Click the green “Add Tag” button

  5. Give the new tag a Name
    • This is what cardholders and Administrators will see
  6. Enter a description for the new tag
    • The description can provide additional information about the tag 
  7. Choose whether or not the new tag is “Required”
    • When the “Required” checkbox is checked, cardholders will be required to add the tag before they can submit a transaction for review
  8. Choose a tag Type, which determines how the tag will be shown to the cardholder. A tag can be:
    • Yes/No
    • Text
    • Dropdown
    • Decimal
    • Sales Tax ($)

  9. “Yes/No” tag:
    • A Yes/No tag will be shown as a checkbox
  10. “Text” tag. Select a validation type for the field:
    • None
    • Numeric
    • Alphabetic
    • Alphanumeric

  11. “Dropdown” tag. You must specify the values to be included in the dropdown information:
    • Dropdown Options
      • You can add options manually
      • You can import options
      • PEX recommends that you import options if you want to use existing GL (General Ledger) codes from your accounting system
    • Import Options
      • You can Import Options by uploading them to PEX in a .CSV (Comma Separated Values) formatted file
      • PEX cannot accept uploads in proprietary formats like “.xls” (Excel) or “.numbers” (Numbers)
      • Popular programs like Excel and Numbers will let you save files as .CSV
      • If you have problems importing the information to PEX, please see “Fixing Common Errors with File Imports”

    • “Option Value”
      • The “Option Value” is a code used in your accounting software
        • It provides a 1-to-1 match with your system to track and analyze transactions
        • The “Option Value” is often (though not always) a number, e.g., a General Ledger (GL) account number
        • The cardholder does not see the “Option Value”
      • “Display As”
        • The “Display As” entry is what the cardholder sees as the name of the tag, i.e., what the tag is called
        • It is typically “user-friendly” text that functions as a label for the tag
    • “Enabled?”
      • You can disable options by unchecking the checkbox titled “Enabled?”
        • Disabled options will not be shown to the cardholder
  12. Click “Add a New Option” to add an option manually
    • Fill in “Option Value” field
    • Fill in “Display As” filed
    • Check the “Enabled?” box to enable the option
    • Click the green “Create” button to add the new option

  13. Click “Import Options” to import Option values in bulk
    • Click “Select file”
    • Select the .csv file you want to upload
    • Click “Open”
    • Click the green “Import” button to upload the .csv file

  14. Click "Create tag" to create the new tag
    • The new tag will appear in the Tag Manager page, along with the name of the administrator who created it.
